One integrated project for Imagine PTP: a modern, mobile-first website and an operational ecosystem built on Zoho One and the TADEUS™ layer, so families, volunteers, sponsors, and the PTP board work from the same source of truth.
Imagine PTP is a volunteer-led nonprofit that supports the school through programs, events, fundraising, memberships, sponsors, and community participation. This proposal integrates two projects into one: a modern, mobile-first website and an integrated operational ecosystem on Zoho One with the TADEUS™ layer, reducing manual work, improving data accuracy, and better serving students, families, volunteers, and sponsors.
School, PTP, and volunteer calendars and agendas live in separate places, with limited visibility and coordination.
Memberships, volunteers, purchases, and reconciliations tracked by hand across disconnected files.
Family, volunteer, and sponsor information is duplicated and inconsistent between tools.
High-frequency actions — membership, sponsorship, volunteering, tickets, giving — are hard to find, especially on a phone.
What is received rarely matches what is reported as paid, with no clean tracking of receipts and reports.
Sign-ups, hours, and recognition depend on manual follow-up from a small group of parents and staff.
A stronger school community online
The website and the operational ecosystem are designed against the same goals.
Refresh how Imagine PTP looks and reads online while preserving the organization's identity and school-community tone.
Membership, sponsorship, volunteering, event participation, calendar, giving, and contact.
One secure, scalable platform holding families, students, volunteers, sponsors, payments, and inventory.
Recurring tasks, approvals, and reminders handled by workflows instead of people, reducing manual errors.
Operational dashboards and reports so the PTP board can see participation, giving, and activity in real time.
A secure CMS and a documented ecosystem that authorized PTP users can run without depending on a developer.
TADEUS™ is not a chatbot, and it is not a standalone AI agent. It is a complete automation and orchestration ecosystem built by BIZMASOFT, running aligned with Zoho One. TADEUS™ sits on top of it: process design, structured workflows, AI assistance, and operational intelligence, so Imagine PTP can do more with less, while keeping control, security, and consistency across every operation.
Connect families, volunteers, sponsors, and PTP processes
into one intelligent infrastructure.
One website. One database. One operational ecosystem serving the whole school community.
Four operational layers running together in the same central database.
The website project is delivered inside the TADEUS™ implementation. The site becomes the public entry point into the same data and automations that run PTP operations.
Built for the parents who reach PTP information from their phones — and structured so every action connects cleanly into the operational ecosystem.
Functionality and content areas prioritized with the PTP board.
Clear membership options and payment paths for families and supporters, tracked in the CRM.
Sponsor acquisition page and a structured directory designed to sync with the CRM and sponsor funnel.
Volunteer information, sign-up, onboarding guidance, and entry points into volunteer management.
Central event calendar and structured event pages with registration or ticket links where applicable.
Newsletter subscription and contact/interest forms connected to Zoho CRM and Campaigns.
Clean, consistent forms designed to connect with the Zoho One automations of Track B.
Optimized experience for mobile, tablet, and desktop — where most parents actually read PTP news.
Page titles, metadata, sitemap, and basic analytics tag setup.
SSL, baseline hardening, backups, launch QA, plus an administrator training session and documentation.
Based on our discussions with the PTP board, these are the operational challenges this project addresses.
School, PTP, and volunteer calendars organized in one place with better visibility and coordination.
Manual spreadsheets replaced with structured data tools and automations.
Standardized procedures and workflows for onboarding new hires.
One central database instead of duplicated, fragmented information.
Supply process managed end to end: inventory, purchases, and distribution.
Reconcile what is received against what is reported as paid, with clean tracking and reports.
Purchase request workflow (Amazon → approval → Excel/records) with clear ownership.
A funnel to nurture sponsors and their representatives, plus a website directory for visibility.
Prepaid and on-site food purchases managed with proper verification, approvals, and tracking.
Memberships entered on the website recorded automatically and added to the central database.
Current sign-up tooling enhanced with better hour tracking, gamification, and recognition of opportunities.
Track and manage room parent activities, supplies, and related expenses.
An AI-powered assistant for PTP knowledge, documents, and procedures — with quick, consistent answers.
Fix delivery and distribution of supply boxes to the correct classrooms.
Existing information is imported, normalized, and governed — so the ecosystem starts clean and stays clean.
A phased approach on Zoho One and TADEUS™ that keeps the website launch aligned with the operational build.
One integrated delivery covering the website, the operational ecosystem, and the handoff to PTP volunteers.
BIZMASOFT will provide a QR management suite with PTP branding for events, forms, volunteer check-ins, sponsor campaigns, classroom supply requests, and other approved uses — simple, flexible, and built for more engagement.
Both projects are combined into a single, deeply discounted investment: a direct contribution from BIZMASOFT and Freddy Irausquin in support of Imagine PTP and its mission.
Standard professional value $16,000 — reduced to a single community partnership investment covering both tracks, training, documentation, and initial post-deployment support.
Website redesign and development, CMS, core content migration, forms, SEO basics, launch QA, and administrator training.
Zoho One and TADEUS™ implementation: data foundation, 14 operational areas, workflows, automations, dashboards, and AI assistance.
Due at kick-off. Triggers discovery, process validation, and the data foundation phase.
Due on delivery of the first functional version of the website and the configured environment.
Due at final delivery, prior to training and go-live.
Imagine PTP may host the website with BIZMASOFT or with any provider of its choice. Ongoing technical support is suggested but never required.
The following are not included in this proposal and must be contracted separately by PTP once approved:
BIZMASOFT and Freddy Irausquin are proud to support Imagine Charter School at Weston PTP and its community mission. In recognition of this substantial contribution, we kindly request that (in appropriate school communications, including the website and email marketing) BIZMASOFT may be identified as:
BIZMASOFT does not deliver and disappear. The 60 days following delivery include technical support, operational adjustments, and adoption coaching for PTP volunteers, all within the implementation price.
For 60 days after final delivery, Imagine PTP has a functional warranty on everything delivered; plus technical support, operational adjustments, and coaching as volunteers adopt the new tools. At no additional cost.
Support for bugs, errors, or misalignments detected during the stabilization period.
Minor tweaks, workflow optimizations, and configuration refinements on what was delivered.
Coverage of the stabilization phase: parameters, operational validation, and final fine-tuning.
Support for the PTP team's adoption of the website CMS and the operational ecosystem.
* Warranty limited to 60 days post-delivery. After this period, the optional monthly services apply.
Automation ecosystems deployed across multiple sectors; from local organizations and schools to companies with international operations.
Every organization runs on its own logic, calendar, and constraints. We adapt TADEUS™ to how the organization actually works.
BIZMASOFT was built to make advanced automation and AI accessible to local organizations including the volunteer-led nonprofits that hold a school community together.
Based in Weston, working with the school community we are part of.
The website and the operational ecosystem designed together, so nothing is captured twice or lost between tools.
Documented, trainable, and maintainable by rotating PTP boards.
A stronger community online
Less manual work for volunteers
One source of truth
Clear paths to give and join
Visibility for the board
A foundation that scales
— Investing in people “Great schools, stronger communities. Together.”
Upon approval, BIZMASOFT will schedule a kickoff session with the responsible PTP leads, collect access and content, confirm the final sitemap, and begin the data-foundation phase. This proposal is valid for 30 days from its date of issue.
