Website Redesign & Zoho One Operational Transformation

One integrated project for Imagine PTP: a modern, mobile-first website and an operational ecosystem built on Zoho One and the TADEUS™ layer, so families, volunteers, sponsors, and the PTP board work from the same source of truth.

01 · Project intent

Imagine PTP should operate as more than a brochure, it should be the digital front door of the school community.

Imagine PTP is a volunteer-led nonprofit that supports the school through programs, events, fundraising, memberships, sponsors, and community participation. This proposal integrates two projects into one: a modern, mobile-first website and an integrated operational ecosystem on Zoho One with the TADEUS™ layer, reducing manual work, improving data accuracy, and better serving students, families, volunteers, and sponsors.

Fragmented calendars

School, PTP, and volunteer calendars and agendas live in separate places, with limited visibility and coordination.

Manual spreadsheets

Memberships, volunteers, purchases, and reconciliations tracked by hand across disconnected files.

No single source of truth

Family, volunteer, and sponsor information is duplicated and inconsistent between tools.

Website hard to act on

High-frequency actions — membership, sponsorship, volunteering, tickets, giving — are hard to find, especially on a phone.

Payments hard to reconcile

What is received rarely matches what is reported as paid, with no clean tracking of receipts and reports.

Volunteer load on a few people

Sign-ups, hours, and recognition depend on manual follow-up from a small group of parents and staff.

Imagine PTP families and volunteers at a school supply event

A stronger school community online

02 · Objectives

Six objectives shared by both tracks.

The website and the operational ecosystem are designed against the same goals.

O / 01

Modernize the presentation

Refresh how Imagine PTP looks and reads online while preserving the organization's identity and school-community tone.

O / 02

Make key actions obvious

Membership, sponsorship, volunteering, event participation, calendar, giving, and contact.

O / 03

Centralize the data

One secure, scalable platform holding families, students, volunteers, sponsors, payments, and inventory.

O / 04

Automate the repetitive

Recurring tasks, approvals, and reminders handled by workflows instead of people, reducing manual errors.

O / 05

Give the board visibility

Operational dashboards and reports so the PTP board can see participation, giving, and activity in real time.

O / 06

Stay maintainable

A secure CMS and a documented ecosystem that authorized PTP users can run without depending on a developer.

03 · The ecosystem

TADEUS™ orchestrates. Zoho One is the platform everything runs on.

TADEUS™ is not a chatbot, and it is not a standalone AI agent. It is a complete automation and orchestration ecosystem built by BIZMASOFT, running aligned with Zoho One. TADEUS™ sits on top of it: process design, structured workflows, AI assistance, and operational intelligence, so Imagine PTP can do more with less, while keeping control, security, and consistency across every operation.

A modern operational foundation for a stronger school community.

05 · The integrated scope

Two tracks. One project, one timeline, one team.

The website project is delivered inside the TADEUS™ implementation. The site becomes the public entry point into the same data and automations that run PTP operations.

Shared
03
One data model behind both: memberships, volunteers, sponsors, events, and payments captured once.
Handoff
04
Administrator training and documentation so PTP volunteers can run the site and the ecosystem themselves.
